Payroll Processing Pays
Off
Productivity and profitability are the
keys to a successful business. Business owners are
increasingly looking to outside help to improve these bottom
line results and are turning to payroll processing services
for assistance.
Payroll preparation involves more than
just payroll checks. It includes the year round preparation of
federal, state, and local tax returns and deposits: up to date
recordkeeping; and ever changing tax laws- all of which take
time and energy that might be better spent elsewhere in the
company, especially for a small to medium business that uses
manual or in- house computer payroll processing.
To
assist business owners across the country, Paychex Inc.
provides a customized payroll processing service at a
surprisingly affordable fee. Paychex delivers a client’s
payroll along with detailed reports including payroll
journals, employee earnings statement, and department
summaries—all of the information necessary to effectively
operate a business. The process is easy to set up and the
benefits are abundant:
Peace of Mind:
Payroll is done quickly and accurately with little effort from
client. Eliminating payroll tax worries: Tax
Service handles all tax returns and deposits, with accuracy
and timeliness guaranteed. Confidentiality: The
amount of money a person earns is a private and personal
matter. Using an outside source can help eliminate office
gossip about salaries, raises and bonuses. In addition,
electronic check signing means that employee’s checks can be
delivered in sealed envelopes. Fewer Lost or Stolen
Checks: Direct deposits reduce the number of stop payments
and reissued checks. Reducing Paperwork: A service
can greatly reduce the amount of paperwork necessary to
fulfill tax requirements. Efficient Reports with necessary
payroll and tax information. Ease and convenience of
electronically transmitted payroll information: Payroll
can be reported on phone, fax or from a personal computer at
whatever time is convenient for them. Internet report service
provides secure and confidential means of receiving payroll
reports over the Internet. Increasing employee
productively: Once a client is signed up with Paychex,
payroll processing is reduced to a 3-4 minute phone call. The
person previously assigned to handle the payroll can now spend
more time on projects directly related to improving the
company’s position and profitability. Access to payroll
data: Paychex can easily provide up-to-date personnel data
from the information on file for processing payrolls.
Enhancing employee benefits: Paychex Business
Solutions provides cost effective solutions for outsourcing
employee benefits, including human resources services employee
handbooks, section 125plan administration, 401K recordkeeping
and more. Attracting the best Personnel: Paychex
Administrative Services allows business owners to focus on
core business functions while providing a comprehensive
benefits package equal to that of larger companies. With
expanded benefits, employers are able to competitively recruit
and retain the best employees.
Most business owners
understand how much work is required to take care of payroll
preparation, employment taxes and record keeping. Outsourcing
your payroll keeps you in control of your payroll without the
headaches. With some savvy shopping, you can find a
payroll company that best fits your needs. Here’s a checklist
of questions to keep in mind:
Company
Integrity: How long has the provider been in business?
Are they licensed and bonded? Do any trade associations
endorse the payroll provider? Do any local CPA Firms recommend
them? Does the provider publish a price list for services?
Does the provider guarantee accuracy and timeliness of payroll
and taxes? What education or training do the Payroll
Specialists have who handle my payroll issues?
Basic Payroll Service: What does basic
service include? What reports are provided? Is the payroll
information kept confidential? Do they offer federal, state
and local tax filing? If a penalty is assessed, who pays the
penalty and any interest? Who do I call if I need help? Do I
have someone special to handle my account?
Tax
Filing Services: What does this include? Federal,
state and local tax filing? Making deposits? Is accuracy and
timeliness guaranteed? Who provides actual copies of the
returns? Do you use a third party processor? Does it include
EFTPS enrollment payments?
Methods of Reporting
Payroll and Receiving Payroll: What are my options for
reporting payroll data? Do the options include phone, fax,
computer or Internet? Can payroll be reported 24 hours a day?
Will a specific person handle my account with personalized
care or will I get anyone? How is payroll delivered? Can it be
sent via Internet? Can I pick it up?
Employee/Employer Options: What employee
pay options are available? Direct Deposit, check signing and
debit card? Is general ledger reporting to my accounting
software available? Does the service provide Human Resources
services, 401K retirement plans, section 125 medical plans,
workers compensation insurance or health benefits?

Spring is really here! Having grown up in
Minnesota, my family back home finds it hard to believe that
we have seasons in southern California, but we really do! The
trees are budding, the hills are still green (before summer
arrives) and the weather is warming up. Phenomenal!
I
just got back from a wonderful family vacation in Mexico. I
felt very blessed to have taken this vacation because my
husband and I met my Mother, Step-Father, my Brother Mark and
his family and my Sister-in-Law’s Father in Mexico. We had a
wonderful time and all felt really refreshed upon our return.
Before I left, someone said to me, “You are really
lucky to be able to take a nice vacation.” I have to tell you,
that comment really left me breathless. In my opinion, there
is no such thing as luck. There is planning, goal setting and
action. I apply the same goal setting techniques to my
personal life that I do to my business. My husband and I have
a goal of taking a minimum of one (not including all of the
trips back home) “nice” vacation per year but we are now
working to take more than that. Why? Because we recognize the
importance of quality family time and the opportunity to
recharge so we can deliver the best to our clients.
Is
there a vacation that you and your family have been thinking
about taking? Make a list of everything you would need to do
to make that vacation happen. The financial aspect,
coordinating, etc. Now, write completion dates next to each
item. The amazing part about luck is that it happens when you
make those plans, follow through and take action until the
goal is completed. The other amazing part is that if you plan
ahead and write down how much you will need for the vacation,
the financial part will take care of itself!

One Change Could Change
Everything! |
|
I remember the day very clearly. My
business had been growing for several months and I was
discussing the growth over coffee with a trusted business
associate. She looked at me and said, “When are you going to
hire someone to help you?” I took a deep inhale in as I stared
at her across the table. She was asking ME, the Certified
Business Coach, when I was going to ask for HELP? I am a
business coach! I should be able to handle everything in my
business, right?
Wrong! My business associate was
right! The time had arrived to hire someone to help me take my
business to the next level. Having spent many years in the
business world with a large staff, I dreaded thinking about
hiring people again. Don’t get me wrong, I loved having a
large, talented staff, but I wasn’t sure that I was ready to
take on my first employee in my new business.
How
often do you think about the growth of your own business?
Change. It can be a difficult word to swallow, and yet,
without change, we cannot successfully grow our businesses. If
you could make one change in your business right now, that you
know would make a difference, what would it be?
I did
a lot of thinking about the kind of person I wanted on my
team. After many years of hiring people, I had learned the
hard way in terms of what to look for and how to successfully
hire good people. Referrals can be a phenomenal way of finding
people, so when my trusted business associate referred someone
to me, I jumped on the opportunity to connect. As it turns
out, she was the perfect connection and a phenomenal
contributing member of my company.
Hiring the support
that I needed quickly took my business to the next level.
Sometimes when you are in the “middle” of your business on a
day to day basis, it is easy to get lost in the details. You
might not be sure what kind of help you need or what needs to
be changed. Talking it over with a trusted mentor or business
associate can be a great way to step away from the business
and check out some areas that might be areas for change.
Another way to figure out what you might want to
change is to think about what you WANT in your business right
now. I realized that I wanted to have more quality time with
my clients and that the only way I could achieve that was my
hiring someone to assist me in the day to day business
activities.
The second thing to consider is what not
achieving this goal that you want in your business is costing
you or costing your business. For example, not having the help
I needed was costing me valuable time with my clients and my
ability to reach more clients. Perhaps you want more time off
from your business but aren’t sure how to achieve it. Not
achieving this might be costing you your physical health or
time with your family. One change you could make immediately,
for example, might be to create an “ideal schedule” that you
will follow every day. Your “ideal schedule” might allow you
to leave at 4pm every day. If that is your goal, I would
recommend that you work backwards from your 4pm daily leave
time to determine how you could make that work in your
business.
Figuring out what you want in your business
is the first step leading to making a change. Understanding
what not achieving that goal is costing you or your business
is the second step. The third step is to commit to taking
action. After you make that first change other positive things
will begin to shift in your business and in your life. Take
action today!
Action Item: What is one goal
that you know you want to achieve in your business right now?
What is not achieving that goal costing you? How could
achieving that goal create a change in your business that
would take you to the next level? Take 10 minutes and write
the answers down to these questions. Then take a look at what
you wrote. Are you committed? |
